Getting started as a dispatcher
As a dispatcher on TruePro, you run day-to-day operations for the business: scheduling jobs, assigning technicians, and keeping customers informed. This guide walks you through how to accept your invitation and get oriented.
Accepting your invitation
Your business owner invites you by email. Here is what to do:
- Open the email from TruePro with the subject "You've been invited to join [Business Name] on TruePro".
- Click "Accept invitation →". This takes you to TruePro and shows the business name and your role.
- Click "Accept invitation" on the page to start creating your account.
- Fill in your details — name, email address, cellphone number, and a password. Your email address will be pre-filled from the invitation.
- Click "Create account". Because you clicked the invitation link, your email is already verified — no confirmation email is needed.
- Verify your identity — enter your SA ID number and upload a photo of your ID document and a selfie holding it.
- Sign the platform agreement — read the agreement, type your full name, and draw your signature.
- You will land on the business dashboard and are ready to go.
What you can see
When you log in, you land on the business Dashboard. From there you can access:
- Jobs — the full kanban board and list view of all business jobs.
- Calendar — the scheduling calendar, week and day views.
- Operations — the Live Dispatch Board: a real-time view of today's field appointments, showing who is en route, on site, overrunning, or overdue.
- Customers — the CRM, with every customer's job and communication history.
- Route planner — optimise daily technician routes.
- Asset Register, Compliance Certificates, PPM Contracts — customer equipment records, certificate tracking, and maintenance contract schedules.
- Analytics — business performance reporting.
You do not have access to Leads, Team management, Quotes, Invoices, or Payments — those are owner-only. You also don't have access to payments, financial reports, or business financial summaries by default. Your business owner can grant financial visibility in your team permissions if needed.
Your main responsibilities
- Assign technicians to accepted jobs and set appointment dates and times.
- Move jobs through the workflow and monitor for overdue or stalled jobs.
- Communicate with customers on behalf of the business when needed.
- Monitor the route planner to keep technician travel efficient.
