Submitting job requests
Submitting a maintenance job as a body corporate on TruePro follows the same basic process as a homeowner job request, with additional steps for purchase order capture and property assignment. This article explains how to post a job correctly so that your records and approvals are in order from the start.
Before you post a job
- Have your PO number ready if your scheme requires one for this type of work.
- Know which property or unit the work relates to.
- Confirm that the work has been approved by the trustees or managing agent as required by your scheme's rules (typically for amounts over a certain threshold).
How to post a job as a body corporate
- Log in to your body corporate TruePro account.
- Select "Post a job" from your dashboard.
- Select the property this job relates to. If the property is not listed yet, add it first under Account > Properties.
- Enter a PO number if required. This field will be marked mandatory if your account has been configured to require POs.
- Select the trade category and subcategory for the work needed.
- Describe the work in detail — include the unit or common area affected, the nature of the problem, and any access instructions. The more detail you provide, the more accurate the quotes you receive will be.
- Set urgency and location. The property address will be pre-filled from the property record. Adjust urgency to reflect whether this is an emergency repair, an urgent fix, or planned maintenance.
- Submit the job. The job goes live and verified tradespeople covering that suburb and category will receive lead notifications.
After submitting
You will receive notifications when quotes arrive. Review them as you would on a homeowner account — comparing line items, scope, exclusions, and the tradesperson's trust score. When you accept a quote, payment is protected. The PO number will appear on the payment record and on any invoices generated.
Approval workflows
If your account has an approval workflow configured — meaning a second user must approve quotes above a certain value before they can be accepted — the quote acceptance screen will prompt for that approval. The approving user will receive an email notification requesting their action.
