Managing your jobs
TruePro is your complete job management tool — not just for leads that come through the marketplace. You can log any job, from any customer, and use TruePro to schedule it, invoice it, and track it through to payment.
Logging a direct job
To log a job for a customer who contacted you outside TruePro — a repeat customer, referral, WhatsApp enquiry, or existing client — go to Jobs → Log a job, or click the + Add button on your calendar. Enter the client's name, contact details, trade category, and job description. The job appears in your jobs list and calendar immediately.
You can also block personal time or non-job appointments (supplier visits, team meetings, days off) using the Block time option on the calendar — these appear in amber on the calendar so you and your team know that time is taken.
The jobs list and kanban board
Switch between list view and kanban view using the toggle at the top of your jobs page. Kanban view shows job cards grouped by status — useful for seeing at a glance how many jobs are at each stage. List view gives more detail per job and is easier to filter and search.
Job status meanings
- Draft — a direct job you started logging but haven't finished yet (list view only — see below). Click it to pick up where you left off.
- Quoted — you have sent a quote and are waiting for the customer to respond.
- Accepted — the customer has accepted your quote and payment is protected. Arrange a date with them now.
- Scheduled — an appointment date and time has been confirmed with the customer.
- Active — the technician has marked en route or arrived. Work is underway.
- Completed — you have marked the job done and uploaded evidence. Waiting for customer review and payment release or the 2-business-day auto-release.
- Paid — payment has been released to your bank account.
- In resolution — the customer has reported an issue. Payment is frozen until resolved.
Jobs that don't need a site visit
Some jobs never need an on-site appointment — for example, a design or quote-only job you complete remotely from photos the customer uploads. If you tick "This job does not require a scheduled appointment" when writing the quote, the job skips straight from Accepted to Active as soon as payment is protected — there's no "Scheduled" step and no arrival to mark. Open the job and look for the "No site visit required" panel — click Mark job as complete once the work is done, with an optional note describing what you did.
Filtering your job list
Use the filters at the top of the jobs page to narrow your view by status, date range, assigned technician, or suburb. If you manage a large team, filtering by technician lets you check one person's workload quickly.
Viewing job details
Click any job to open the full job detail view. Here you can see the customer's original request, the accepted quote, the appointment history, all messages, and any uploaded photos or evidence.
Messaging customers
All customer communication should happen through the TruePro messaging system, not via WhatsApp or personal SMS. This keeps a record that protects both you and the customer. To message a customer, open the job and scroll to the messages section. The customer receives an email and SMS notification of your message.
Adding extra appointments to a confirmed job
If a job requires follow-up visits — a return to fit parts, a second inspection, or any work that could not be completed in one visit — you can propose additional appointments from the job detail page without raising a new quote. Open the job, find the "Additional appointment" panel, and follow the prompts to set a duration, number of visits, and available times. You can either send the options to the customer to choose from, or add the appointment directly to the calendar if no customer input is needed.
Uploading evidence
You can upload photos and notes at any point during a job. Upload arrival photos when you start, work-in-progress photos during the job, and completion photos when done. Evidence uploaded through TruePro is time-stamped and tied to the job record, which is your best protection if an issue is reported.
Setting a follow-up or warranty reminder
Once a job is completed, a Follow-up reminders panel appears on the job page — useful for warranty callbacks, satisfaction check-ins, or routine service reminders you'd otherwise have to remember yourself (or WhatsApp yourself, which gets lost just as easily as a customer thread does).
Set a reminder date and an internal note (visible only to your team). If you also want TruePro to message the customer on that date, add a customer message — it's sent through this job's own message thread, the same place all your other customer communication lives, so it's on the record.
Due reminders show up in two places so you never have to remember to check the job itself: a Follow-ups due panel on your dashboard, and a banner on your calendar for the day/week the reminder falls on. Once you've dealt with it, click Mark done on the job page or the dashboard to clear it.
