Inviting and managing your team
TruePro supports three team roles alongside the business owner: Lead technicians (senior field workers who also run operations), Dispatchers (office-based coordinators), and Technicians (field workers). This guide explains how to invite team members and what happens when they accept.
Roles at a glance
| Role | What they can do | Best for |
|---|---|---|
| Lead technician | Assigned to field jobs and appears on the route planner — goes on site. Also has full management access: view and manage all jobs and leads, schedule jobs, assign technicians, communicate with customers, access the calendar, route planner, and CRM. No access to financial data by default. | Foreman, senior tradesperson who also manages the crew, working team leader |
| Dispatcher | View and manage all jobs and leads, schedule jobs, assign technicians, communicate with customers, access the calendar, route planner, and CRM. Office-based — not assigned to field jobs. No access to financial data by default (can be granted by owner). | Office manager, admin coordinator, operations staff who don't go on site |
| Technician | View only their own assigned jobs, mark arrival, log photos and notes, complete jobs. No access to leads, quotes, other jobs, or financials. | Field workers, subcontractors |
Not sure which role to choose? If someone goes on site and helps with scheduling or management, they're a Lead technician. If they only coordinate from the office, they're a Dispatcher. If they only do field work, they're a Technician.
Inviting a team member
- Go to Team in the navigation.
- Click "Invite member".
- Enter the team member's first name, last name, and email address.
- Choose a role — Lead technician, Dispatcher, or Technician. Each card shows exactly what the role can and cannot access.
- Click "Send invitation". The team member receives an email with a personalised link.
Invitations expire after 72 hours. If the link expires before your team member accepts, send a new invitation from the team page.
Important: the invitation can only be accepted by an account using the exact email address you invited. If your team member already has a TruePro customer account (from booking jobs as a homeowner), that's fine — accepting the invitation on that same account switches it into a team account, and they keep full access to their own past job requests as a customer too, from "As a Customer" in their account menu.
What happens when they accept
When your team member clicks the invitation link:
- They see your business name and role on a confirmation page. If they're already signed in with a matching account, they'll also see a warning here if anything needs their attention before continuing — for example, if accepting will move them from another business they currently work for.
- They click "Accept invitation" — there's no sign-up form to fill in. Their account (with the name you entered when inviting them) is created immediately, and they're taken straight to a "set your password" screen with a checkbox confirming they've read and accept the Team Member Agreement and the Privacy Policy. Because they clicked the invitation link, their email is already verified — no confirmation email is needed.
- They complete one remaining step — Identity: SA ID number, a photo of their ID document, and a selfie holding it. TruePro verifies this within 1 business day.
- They land on their workspace — lead technicians and dispatchers on the business dashboard, technicians on their jobs list.
Managing your team
After a team member accepts, they appear in your Team list. From there you can:
- View their current role and access level.
- Change their role — pick a different role from the dropdown next to their name and it takes effect immediately, no need to remove and re-invite them.
- Adjust permissions — for example, grant a dispatcher access to financial data or restrict a member to a specific branch.
- Remove a team member (they will lose access immediately).
Identity verification
All team members — lead technicians, dispatchers, and technicians — must submit their South African ID and a selfie before their verified badge appears on job pages. They do this during the onboarding flow after accepting the invitation. TruePro's admin team reviews and approves the submission, usually within one business day. Unverified team members can still be assigned to jobs — they just won't show a verified badge on customer-facing pages until approved.
