Adding job notes at any time
You can add notes to any job at any time — before, during, or after the visit. Notes are visible to your dispatcher and business owner, but not to the customer.
When to add notes
Use job notes to:
- Record what was found when you arrived (e.g. "Customer confirmed geyser last serviced in 2022. Scale build-up significant.")
- Flag an issue that needs follow-up (e.g. "Could not access roof space — customer to arrange access before second visit.")
- Log materials used or ordered (e.g. "Ordered replacement thermostat from supplier — ETA Thursday.")
- Record anything that could be relevant if an issue arises later
How to add a note
- Open the job on your mobile device — go to My Jobs and tap the relevant job.
- Scroll down to the Notes section.
- Tap Add note.
- Type your note and tap Save.
Notes are timestamped automatically with the date and time they were added.
Completion notes
When you mark a job complete, you are prompted to add a completion note. This is separate from interim notes — the completion note is a summary of all work carried out and is stored as part of the job record. Write it clearly: what was done, what was tested, and whether any follow-up is needed.
Notes vs messages
Notes are internal — only your business team sees them. If you need to communicate with the customer, ask your dispatcher to send a message through the job's message thread. Technicians do not have direct message access to customers.
